1. Purpose and Scope
This policy outlines the responsible use of Artificial Intelligence (AI) technologies by students, educators, and staff within the Energy and Water Academy (EWA), including all academic activities conducted through the EWA Learning Management System (EWA LMS). It aims to promote academic integrity, support innovation in learning, and ensure ethical and transparent use of AI tools in line with EWA’s values and professional standards.

2. Acceptable Use of AI
AI tools may be used to support learning, research, assessment, and administrative functions, provided their use adheres to the following conditions:

  • AI-generated content must not be submitted as original work unless explicitly permitted by the instructor or course guidelines.
  • Students are permitted to use AI tools (e.g., for summarising readings, language support, or coding assistance) only when such use does not compromise the learning outcomes or breach assessment rules.
  • Educators may use AI for curriculum design, content creation, marking support, or feedback generation, with transparency and moderation.

All AI-assisted work must be appropriately acknowledged. Where there is uncertainty, students and staff should consult their course leader or academic supervisor.

3. Prohibited Use of AI
The following uses of AI are strictly prohibited:

  • Using AI tools to generate or modify answers for assignments, exams, or quizzes in a way that misrepresents a student’s own understanding.
  • Bypassing plagiarism detection or other academic integrity systems through AI obfuscation tools.
  • Using AI to impersonate or simulate another person’s work or presence in online learning environments (e.g., auto-responses in forums, deepfakes, or bots).
  • Inputting confidential or personal student/staff data into AI platforms that are not approved or secured by EWA.

Violations of this policy will be treated as breaches of the EWA Academic Integrity Policy and may lead to disciplinary action.

4. Data Protection and Security
Users must ensure that any AI applications integrated into EWA LMS or used for academic work comply with data protection legislation and the Academy’s privacy and cybersecurity policies. No personal data or sensitive information should be shared with third-party AI tools without explicit consent and proper safeguards.

5. Staff Responsibilities
Educators and staff are expected to:

  • Clearly communicate AI-related expectations and permissions in their courses.
  • Provide guidance on the appropriate use of AI tools for their subject areas.
  • Monitor assessments for potential misuse of AI and take action when necessary.

6. Continuous Review
As AI technologies evolve, this policy will be reviewed regularly to remain aligned with best practices, technological developments, and legal regulations.
